STUDENT ONBOARDING

Collecting student information in a way that decreases miscommunication and leads to more automated processes.

Context

The Student Onboarding Form is used to gather information about a prospective student such as their availability, subject, and language needs.

The information collected is used to match students with tutors who are the best fit for them.

PROBLEM SPACE

From our research from Spring semester, we identified and validated specific factors in the pairing process that should be automated. A lot of the data inputs from the Student Onboarding Form contributed to these factors that needed to be automated.

Some form questions were worded or structured in a way that could confuse both the applicant (when inputting their information) and the pairer (when analyzing the responses). Pairers would need to follow up with the student’s family for clarification, which causes a delay in the pairing process.

GOALS

We set a goal to clarify the content within the Student Onboarding and improve the quality of information that pairers receive about a prospective student. In revising the form, we hoped to decrease applicant errors and instances where miscommunication may occur. With clearer data inputs that could be automated, pairers can match students with tutors at a faster rate.

USER TESTING

Methodology

Usability sessions where participants completed both the original and revised Student Onboarding Forms

Target Audience

Parents and / or anyone who works with children / students

Participants

3 parents / guardians
1 teacher

FINDINGS

These sessions helped identify areas of the form that served as pain points to test participants.

We used this feedback to make both visual and structural improvements to the form, such as clarifying and adding additional questions.
